Branding & Marketing Shoot requests

Preliminary agreement to styled shoot terms & collab conditions *

By checking the boxes below you are agreeing to these terms. A legally binding contract will be sent out after collaboration has been accepted to solidify terms.

Coven Creative reserves the right to be the only Lighting vendor. This refers to all lit décor, lighting décor, battery operated, LED or electricity powered light.

Requested item availability is subject to booking and schedule changes. Notice will be given by the Coven Creative team as soon as items become unavailable. Alternative rental item suggestions will be provided, and new requests accommodated as best as possible.

Coven Creative’s vendor accreditation will be “Lighting Design" "Rigging + Lighting Design" "Production Assistance" ETC.” Should this accreditation expand with additional work on site, an updated list with special note to accreditation change to be sent out to the vendor team by shoot lead.

Video footage, behind-the-scenes footage, montages or cinema from collaboration must include credits with "Coven Creative" & discussed vendor accreditations.

Photos must be credited on all platforms with business name (Coven Creative) and vendor accreditation (EG. Lighting Design). Publication platforms including but not limited to all publication platforms, social media platforms, websites including blog posts and any marketing or media platforms/organizations or print.

Instagram photos/video/reels/guides and behind-the-scenes for Instagram, Pinterest and Facebook must be tagged with all collaborators both in the body of text and 'tagged in photo' area so that they are represented on Coven Creative's tagged account section. Tag in comments will not be accepted.

Every vendor is tagged in every and all marketed, posted, shared, featured or published material/photo/film, not just in photos representing their product in the subject matter.

Rectification of incorrect use of vendor list accreditations or incorrect tagging in addition to any of the above described situations will be the sole responsibility of the shoot lead to independently resolve. This includes collection and/payment of any rental costs, delivery costs, standard shoot charge, damages or replacement costs.

Images from shoots intended for publications will not be over shared on Coven Creative social media platforms. We may share a limited number of behind-the-scenes from day of and will ensure to follow the shoot leads rules for posting.

Unauthorized use of Coven Creative gear at shoot; including but not limited to: touching, moving, use, loss of gear/inventory/tools or custom curated design materials or concepts resulting in damage will be the responsibility of those in their actions. These actions will result in full replacement and/or reimbursement of gear tampered with. The cost and source of replacement of gear and/or inventory is determined solely by Coven Creative.

Collaborations that turn into workshops, or have paying attendees will be subject to rental rates. Collaborations that turn into real weddings, planned or spontaneous, will be subject to rental rates.

Standard Collab Requests *

Shoots are subject to a flat fee of $35.00 that goes towards the cost of consumable gear used on site.

Shoots are subject to standard delivery rates based on location.

Inventory requested is subject to product shot list outline provided by Coven Creative. Shot list to be provided to lead photographer & agreed upon prior to collab date, by shoot lead.

Inventory requested and not used/styled in collaboration or photographed are subject to full rental rates.

Discussed delivery rates, standard shoot fees and payment for custom curated concepts/suspension gear are due upon signing this agreement.

Collaborations may be subject to charge depending on length or depth of project/shoot.
